Terms and conditions for the use of the Weegree Chatbot service

1. general provisions
  1. These Terms and Conditions (hereinafter “Terms and Conditions”) set out the rules for the use of the chatbot-assistant based on artificial intelligence models (hereinafter “Service”), provided by Weegree Europe Sp. z o.o. (“Weegree”) at Krakowska 26 / 1, 45-018 Opole, Poland.
  2. The service allows users to ask questions to AI models provided in the Microsoft Azure cloud (“Azure OpenAI”), including the GPT-4.1-mini model or other available models, regarding employment offers and recruitment processes.
  3. Responses generated by artificial intelligence models may contain errors, inaccuracies or information inconsistent with reality (“hallucinations”). The service is informational and educational in nature and is not a substitute for specialized advice (legal, medical, financial or otherwise).
  4. Responses generated by AI are automatic and may contain errors, inaccuracies or outdated information. The service is for informational and educational purposes only and is not a substitute for professional advice (legal, medical, financial, tax or other).
2. know-how and intellectual property
  1. The prompt system, model configuration and all methods of call personalization are Weegree’s know-how and are not disclosed to users.
  2. All intellectual property rights in the site, materials, software, trademarks and design belong to Weegree or its licensors.
  3. Content generated by AI is the property of Weegree, except for user-provided materials. For the avoidance of doubt, it is indicated that Weegree owns the copyright to the generated content.
  4. The AI models used in the Service have been trained on data available until around 2025 and may not have knowledge of later events.
3 Responsibility
  1. The service is provided “as is” without warranty of any kind, including accuracy, completeness, suitability or legality.
  2. Answers to inquiries can sometimes be inconsistent with facts and expertise. They may be so-called hallucinations, that is, they sound convincing but do not correspond to reality.
  3. Weegree is not responsible for decisions made on the basis of AI responses, to the extent permitted by law.
  4. Weegree is not responsible for the content entered by users or for their violation of third-party rights. It is recommended not to provide personal or confidential information in the content.
  5. Weegree’s liability for damages is limited to cases of intentional damage or those arising under applicable mandatory consumer legislation.
4 Rules of use
  1. The Service is intended only for personal use by persons over 18 years of age. Persons under the age of 18 may use the Service only with the consent and supervision of their parents or legal guardians.
  2. It is forbidden to enter content:
    1. offensive, hateful, discriminatory, promoting violence or fraud,
    2. violating the rights of third parties, including copyrights and personal rights,
    3. containing personal data of third parties or special categories of sensitive data (Article 9 RODO).
  3. Weegree may temporarily or permanently block a user’s access in case of violation of the Terms of Service or actions that threaten the operation of the Service. The user may file a request for reconsideration of the decision.
  4. Use of the Service is free of charge and does not require the creation of a user account.
5. personal data
  1. The controller of the data is Weegree. Technical data (e.g. IP, session IDs, first name entered for personalization purposes) is processed on the basis of legitimate interest (Article 6(1)(f) RODO).
  2. The user has the right to object to the processing of technical data.
  3. Data is kept only as long as necessary to provide the Service, ensure security and improve the quality of the Service, and then anonymized or deleted.

6 Moderation and fair use
  1. The service uses an automatic moderation system that detects violations of the regulations.
  2. Weegree reserves the right to introduce technical restrictions or change the AI model in the event of:
    1. Excessive load on the system,
    2. generating a large number of inquiries or mass commercial content,
    3. use inconsistent with the purpose of the Service.
7. use of content and statistics
  1. User queries may be used after anonymization for statistical, research and improvement of the Service. The system trains on the data (content) provided by the user.
  2. Providing any personal information in the content of the message is against the Terms and Conditions. Weegree is not responsible for the consequences of such actions. In particular, it is prohibited to provide sensitive data (Article 9(1) of the RODO).
  3. It is prohibited to enter any personal information into the chat room.
  4. Detailed rules for the protection of personal data are described in the privacy policy, which is an integral part of the regulations.
8 Service availability
  1. Weegree will make every effort to ensure that the Service is available continuously, but does not guarantee continuous availability or freedom from errors.
  2. Weegree reserves the right to temporarily limit, suspend or modify the Service without prior notice.
9. changes to the regulations
  1. Weegree may make changes to the Terms and Conditions, which shall become effective within 7 days of publication on the website.
  2. In case of significant changes, users will be informed.
10 Applicable law and disputes
  1. The regulations are governed by Polish law.
  2. Disputes with consumers can be resolved out of court or referred to competent authorities, such as the Consumer Ombudsman.
  3. Any disputes unexplained out of court will be settled by the ordinary courts:
    1. Consumer: the court with jurisdiction over the place of residence,
    2. Entrepreneur: the court with jurisdiction over the seat of Weegree (District Court in Opole).
11. acceptance of regulations
  1. Use of the Service implies acceptance of the Terms and Conditions.
  2. You agree to use the Service in accordance with the policies of the providers (Azure OpenAI, OpenAI, Anthropic) and the law.
